TIPS FOR SUCCESSFUL EVENT

REMEMBER THE 4 W’S

WHAT:   Event to have (Touring Run, Swap Meet, etc. and include entry fee)

WHERE: Location (Don’t forget Town & State)

WHEN:   Date & Time

WHO:     Contact person or persons

VERY IMPORTANT TO ADVERTISE

ALLOW 2 TO 3 MONTHS FOR GETTING THINGS TOGETHER

MAKE FLIERS AND POST EVERYWHERE

Make fliers short and to the point. Attend all other events when possible and advertise your event. It’s like that old saying, you scratch my back, I’ll scratch yours. "It works." Use newspapers, radio and TV when possible, maybe Public Broadcasting Service. When events are for Community Service, ADVERSTISING should be free.

Make a list of duties that need to be done. Appoint a committee chairman for each duty. (Supplies, Gate, Door Prizes, Food & etc.)

Keep in close contact with each chairman to make sure they are doing their jobs.

Have a meeting with your chairman a week before event.

Never advertise amount of money that you are going to give away, (state cash prizes or % of entry fee). If you guarantee cash prizes and have a small turn out it could hurt your income.

INSURANCE- Take care of it EARLY. Must be 14 days before the event. Contact the office.

Vendors- if they are to be used contact them early.

If your event requires going through counties and/or cities contact your local law officials. Let them know what is going on, ask for escorts through the counties and /or cities for your events, if not ask permission to set-up road hoards. Invite them to your event. Your Sergeant of Arms (Road Captain) should take care of this. (Some places you can’t do any of the above). Sergeant of Arms is over Security

PLANNING IS THE KEY for a successful event. Make a list of supplies, volunteer’s workers and any other details so that nothing is forgotten. Anything that can be put in place of set-up early saves confusion at the last minute when you have a lot of other things on your mind.

RODEO REGULATIONS

POINTS:

1ST PLACE = 3 POINTS 2ND PLACE = 2 POINTS 3RD PLACE = 1 POINT

PARTNERS: 1 RIDER, 1 PASSENGER

The Passenger may ride through an event with more than one person, but must sign-up at the start of the rodeo, whom they are riding with for points.

FIELD GUIDELINES:

Field Size: Lane(s) Length-50 feet, Width-12 feet. Minimum of 3 lanes to eliminate BI-runs. Draw for position (left to right) for each event and NO practicing on the field before rodeo. The points go to the winners whether or not they are CMT/ABATE members. You do not have to be a member to enter the rodeo.

PRIMARY EVENTS: SLOW RACE WEENIE BITE BALL & CONE BARRELL ROLL

RULES:

SLOW RACE:

NO FEET DOWN, Don’t go over sidelines, last one over finish line is the winner.

WEENIE BITE:

NO FEET DOWN, 5 feet before and 5 feet after the weenie attachment. Height adjustment is fine, bun length hot dogs are to be used. Weenie attachment to the rodeo hosts discretion. What is bitten off is what counts, so if it pulls out, BITE IT! (To qualify, that is). Choice of condiments is at the rodeo host’s discretion.

BALL & CONE:

NO FEET DOWN, 6 cones, center of cone 18 inches outside of boundary line. First cone placed on starting line (due to first cone on starting line, participants may back up from starting line to start). Once starting line crossed all rules apply. Tennis balls are to be used.

BARRELL ROLL:

Feet can be down, barrel only touches front tire, barrel type can be at host’s discretion (plastic or metal), winner is the one who crosses the finish line with their barrel first or furthest down the lane before the barrel rolls out of bounds.

GUIDELINES FOR CMT/ABATE, INC. EVENTS

 

CHARTERS:

EACH CHARTER IS REQUIRED TO HAVE THE FOLLOWING PER CALENDAR YEAR 1 CHARITY EVENT (TOY RUN, FOOD DRIVE, ETC.)

1 FUND RAISER (TOURING RUN, SWAP MEET, ETC.)

** EACH CHARTER WILL KEEP 60% OF THE PROFIT AND 40% OF THE PROFIT WILL GO TO THE CORPORATION GENERAL FUND.

DIVISIONS: (EAST, MIDDDLE, WESTERN)

* EACH DIVISION IS REQUIRED TO HAVE A DIVISION RODEO.

** DIVISION RODEO, WITH CHARTERS WITHIN THAT DIVISION KEEPING 60% OF PROFIT AND 40% OF THE PROFIT GOING TO THE CORPORATE GENERAL FUND.

STATE WIDE CORPORATION EVENTS:

**ALL PROFITS ARE TO BE PLACED IN THE CORPORATE GENERAL FUND. EXCEPT CORPORATE EVENTS THAT ARE DESIGNATED FOR A SPECIFIC PURPOSE.

--CHARTERS MAY HAVE ADDED EVENTS AS LONG AS THEY CHECK WITH THE CORPORATE OFFICE AND MAKE SURE ANOTHER CHARTER IN THEIR DIVISION HASN’T PLANNED FOR THAT DATE.

UNDER NO CIRCUMSTANCES WILL TWO EVENTS BE SCHEDULED ON THE SAME DATE IN THE SAME DIVISION.

IF ANY CHARTER’S NAME IS USED TO ADVERTISE AN EVENT, THIS WILL BE CONSIDERED A CMT/ABATE, INC. FUNCTION, THEREFORE 60% OF THE PROFIT WILL REMAIN WITH THE CHARTER IN QUESTION AND 40% OF THE PROFIT GOING TO THE CORPORATE GENERAL FUND
